Zoom - Schedule a Meeting
- Open your Zoom client and sign into Zoom.
- Click on the Schedule icon.

- This will open the Schedule Meeting window (See below). Note: Some of these options might not be available if they were disabled at the account level by yourself or your organisation.

Within the Schedule Meeting window there are a number of options to tailor your meeting to your needs. See the options and their breakdown below:

Topic: Choose a topic/name for your meeting.

Start: Select a date and time for your meeting. You can start your meeting at any time before the scheduled time.

Duration: Choose the approximate duration of the meeting. Note that this is only for scheduling purposes. The meeting will not end after this length of time.

Recurring meeting: Choose if you would like a recurring meeting, i.e. the meeting ID will remain the same for each session.

Time Zone: By default, zoom will use your computer's time zone. Click on the drop down to select a different time zone.

Meeting ID: Generate Automatically will generate a new meeting ID specifically for this session. Personal Meeting ID will use your personal meeting ID for this scheduled meeting.

Password: A password will be auto generated for your meeting to keep it secure. If you would like to change it you can remove the password and enter your own.

Video: You can decide whether the host or participants will have video during this meeting.

Audio Options: Choose whether to allow users to call in via Telephone Only , VOIP Only (computer audio), both, or 3rd Party Audio (if enabled for your account).

Calendar: Add to any selected calendar and send out invites to participants

Advanced Options: Click on the down arrow to view additional meeting options.

Enable Waiting Room: This will cause participants to be in a waiting room when they join until the host admits them to the meeting.

Enable join before host: Allow participants to join the meeting without you or before you join. The meeting will end after 40-minutes for Basic (free) subscribers.

Mute Participants Upon Entry: This will mute all participants as they join the meeting.

Only authenticated users can join: Only users who are signed into a zoom account can join this meeting.

Automatically Record Meeting: Check this if you want the meeting to be automatically recorded. Select if you want it to be recorded locally (to your computer) or to the cloud (zoom.us/recording).

Alternative Hosts: Enter the email address of another Zoom user with a premium license on your account to allow them to start the meeting in your absence.
5. Click Schedule to finish, and open up the calendar you have selected. Once you have clicked schedule your selected calendar application will open and you can invite attendees.
Additional Information
- Choosing Other Calendars will allow you to copy and paste the scheduled meeting information such as date, time, and meeting URL into an email that you may send to invitees.
